What are the different team roles?

An overview of the four team roles available on Incard: Owner, Admin, Bookkeeper, and Custom.

Incard offers four team roles, each with different levels of access and permissions. Here's a summary of what each role can do.

Owner

The Owner has full control over the account. This role cannot be restricted and there must always be at least one Owner. Only the Owner can:

  • Transfer ownership to another Admin

  • Close the company account

The Owner also has full access to all accounts, payments, cards, team management, analytics, and settings.

Admin

Admins have full operational control — the same access as the Owner, with two exceptions: they cannot transfer ownership or close the company account. Admin permissions are fixed and not configurable.

Admins can:

  • View all accounts, balances, and transactions

  • Move money, manage recipients, and manage cards

  • Invite and remove team members

  • Edit user roles and permissions

  • Access analytics, billing, rewards, and all settings

Bookkeeper

The Bookkeeper role is designed for accounting-focused team members. Bookkeepers are assigned access to specific accounts and can only work within those accounts.

What Bookkeepers can do:

  • View transactions and balances on assigned accounts

  • Download statements for assigned accounts

  • Manage categories and accounting codes

  • Manage accounting integrations

What Bookkeepers cannot do:

  • Move or send money

  • Manage cards or recipients

  • Submit or approve expenses

  • Invite or remove team members

  • Access the Team page, billing, or security settings

Custom

The Custom role lets you build a tailored set of permissions for a team member. You select which accounts they can access and choose exactly which capabilities to enable.

Configurable permissions include: move money, manage recipients, manage cards, approve payments, submit expenses, access rewards, analytics, accounting, and more.

Custom role users cannot edit roles, invite or remove users, manage security, transfer ownership, or close the company.
